Billing Coordinator

I'm delighted to be partnering with a leading professional services firm in their search for a Billing Coordinator to join their London office. The role reports to the Global Billing Manager and offers an excellent opportunity for an experienced legal biller to join an impressive global consultancy.

Duties of the role:

  • Review client project setup for billing accuracy, including checks on billing rates, client address details, discounts, and VAT considerations
  • Process adjustments such as write-offs, rate changes, narrative amendments, and credit notes where required
  • Maintain compliance with internal controls relating to accounts receivable and client invoicing
  • Demonstrate strong E-Billing expertise, including onboarding and uploading invoices to client E-Billing platforms
  • Prepare and submit monthly budget accruals to clients in line with agreed timelines
  • Update TK rates annually, reflecting changes such as promotions and range adjustments
  • Upload subcontractor timesheets accurately and on time
  • Create new task codes as needed for project tracking and billing
  • Generate WIP and cost reports on an ad hoc basis to support project and financial reviews
  • Draft and finalise invoices, including narrative amendments and adjustments to fees, costs, and rates
  • Support other ad hoc projects as required by the business

The right candidate will need to be:

  • Proactive and creative approach to problem-solving
  • Excellent oral, written, and interpersonal communication skills
  • Sound decision-making skills with the ability to resolve issues effectively
  • Detail-oriented team player who is dependable and able to lead change when required
  • Adaptable to changing circumstances and comfortable working in a fast-paced, high-growth environment
  • Over five years' experience in an EMEA-level billing role within a professional services environment
  • Strong knowledge of VAT across the EMEA region
  • Experience in client invoicing, ideally involving billable rates in a professional services setting
  • Professional and confident approach when reminding internal teams to convert WIP to AR promptly
