Events Executive

A global law firm with 1100+ people worldwide, including more than 180 partners is looking for a talented Events Executive to join their team. The events' executive role has been established to meet the increasing events demand within this ambitious, growing firm. You will be responsible for different event types for the London office. To include client seminars, receptions, webinars, hybrid seminars and dinners in-house and at external venues. This exciting role reports into the events manager and benefits from the support of an events assistant. Roles and Responsibilities

  • Project managing a number of in-person events across the firm and ensuring that events are delivered to the highest quality, working closely with key stakeholders including fee earners, the BD team, secretaries, facilities, IT and the catering department
  • Project managing a number of virtual, webinar and hybrid events across the firm, working closely with internal and external panellists
  • Assisting the event manager at the annual partner conference, taking responsibility for a number of logistical requirements (circa 200 guests over two days)
  • Researching and providing detailed proposals with costs for review for corporate hospitality
  • Delegating tasks to the events assistant, helping to develop their understanding of the events process, and providing opportunities to take responsibility for certain aspects of key events
  • Assisting in training and coaching PAs/TAs who are responsible for some of the administrative aspects of the seminars, events and client receptions (such as greeting and registering clients at reception and updating Interaction post event)
  • Assisting with drafting event budgets and requesting budget approval from partners to ensure that all parties are clear on the proposed costs and potential return on investment at all times
  • Working with fee earners and members of the BD team to ensure that the thinking behind the event logistics is thorough and robust

This role would suit an events professional with proven direct experience of organising and managing events and client functions. Previous experience managing virtual events, webinars and hybrid events is desirable. You should have experience of running events in either a business-to-business or a professional services environment. Previous experience of working in a law firm would be advantageous although not essential. You will:

  • Have excellent writing and communication skills and be able to manage the expectations of senior stakeholders
  • Be able to work successfully with minimal supervision, but seek and take direction appropriately from the event manager, and with flexibility under tight deadlines
  • Demonstrate expertise in event production, vendor negotiation, event contract procedures, logistics, and audience management
  • Be a supportive and committed team player able to demonstrate experience of building a collaborative environment
